This version was last updated on 13th October 2026.

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.

Third-party links

This website may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the privacy notice of every website you visit.

We are responsible for determining how and why your personal information is processed in connection with our business and website.

If you have questions about this Privacy Policy, wish to exercise your data protection rights or want further information about how we use your personal information, please contact us using the details above.

Customer Accounts and Website Registration

Customers may create an account on the MD Engineering website to manage their details, view order information and make future purchases.

When you create an account, we may collect information including your name, email address, telephone number, billing and delivery addresses, account credentials and order history.

We use this information to administer your account, process orders, provide customer support, maintain transaction records, protect our website against fraud and comply with our legal obligations.

Customer Account Retention and Deletion

We retain customer account information for up to six years from the date of the customer’s last qualifying account activity, subject to applicable data protection law and the exceptions described below. This is our standard account-retention policy and does not mean that all personal information must legally be retained for six years.

Qualifying activity may include a successful account login, placing an order or another meaningful interaction with the account.

Where an account has remained inactive for six continuous years, we will arrange for the account to be deleted and the associated personal information to be erased, unless we have a lawful reason to retain particular information for longer.

If a customer resumes qualifying account activity before the scheduled deletion, the six-year inactivity period will restart.

Receiving marketing emails alone will not count as qualifying account activity.

Customers may also contact us to request account closure or deletion. We will consider such requests in accordance with applicable data protection law.

Retention of Orders, Financial Records and Other Information

Deleting a customer account does not automatically mean that all information associated with that customer can be erased.

We may retain invoices, order records, financial and accounting information, delivery records, warranty information, relevant correspondence and other necessary records beyond the account deletion date where required by applicable law or where we have another valid legal basis for doing so.

Certain UK company tax and accounting records generally need to be retained for at least six years from the end of the relevant accounting period, although specific requirements and exceptions may apply.

Where information is retained after an account has been deleted, we will restrict its use to the purposes for which it remains necessary and erase or anonymise it when those purposes or applicable retention requirements have ended.

For information that is not subject to a specific legal retention period, we determine how long it is kept according to the purpose for which it was collected, the nature of the information, how long it remains relevant to our business relationship with you, and any applicable legal or regulatory requirements.

How we use your personal data

When You Provide Personal Information

Some personal information is necessary for us to process orders, arrange deliveries, manage customer accounts or meet our legal obligations. If you do not provide information that is necessary for a particular purpose, we may be unable to provide the relevant product, service or account functionality.

Where information is optional, we will aim to make this clear when collecting it.

Information We Collect and How We Use It

In addition to the information collected when you create a customer account or place an order, we may collect and process the following types of personal information, where applicable.

Information You Provide to Us

When you contact us by email, telephone, through our website contact forms or by other means, we may collect your name, contact details and the information you provide in your enquiry. This may include details about products, parts, orders, technical questions, returns, warranties or other customer-service matters.

We use this information to respond to enquiries, provide customer support, advise on our products and services, manage complaints and returns, and maintain relevant business records.

Our lawful basis for this processing will generally be our legitimate interests in responding to enquiries and operating our business, or taking steps at your request before entering into a contract. Where the enquiry relates to an existing order or agreement, processing may also be necessary to perform our contract with you.

Technical and Website Usage Information

When you visit our website, certain technical information may be collected automatically by our website, hosting provider or relevant website technologies. Depending on the systems in use, this may include your IP address, browser type and version, device information, operating system, referring website, pages visited, dates and times of visits, and information about how you interact with our website.

We use this information, where applicable, to operate and maintain our website, monitor performance, troubleshoot technical problems, protect our systems, detect suspicious activity and help prevent fraud or unauthorised access.

Depending on the purpose, our lawful basis may be our legitimate interests in maintaining a secure, reliable and effective website, or compliance with a legal obligation. Where consent is required for particular cookies or tracking technologies, we will seek that consent before using them.

How We Limit Our Use of Information

We aim to collect and use only the personal information reasonably necessary for the purposes described in this Privacy Policy. We do not use personal information for unrelated purposes unless permitted by applicable data protection law, and we retain it only for as long as necessary for the relevant purpose or as otherwise permitted or required by law.

Marketing

We may use your personal information to provide you with information about our products, services and promotional offers where permitted by applicable data protection and electronic marketing laws.

Promotional offers from MD Engineering

We may use relevant contact details and information about your previous orders or interactions with us to help identify products, services and offers that may be relevant to you, where permitted by applicable law.

We will send marketing communications by email or text message only where we have your consent or where a lawful exception applies, such as the existing-customer exception for our own similar products and services. Where we rely on that exception, we will have obtained your contact details directly during a sale or genuine negotiations for a sale, given you an opportunity to opt out when collecting your details, and included an opt-out in each subsequent marketing message.

Creating an account, browsing our website or making a purchase does not automatically mean that you have consented to all forms of marketing.

Opting out

Your right to object to direct marketing

You have the right to object at any time to the processing of your personal information for direct marketing purposes. If you object, we will stop processing your personal information for that purpose.

You can exercise this right by using the unsubscribe link in a marketing message or contacting us at sales@mdengineering.co.uk.

Opting out of marketing will not prevent us from sending essential service communications, such as order confirmations, delivery updates, account-security notices or information relating to an existing transaction.

We may retain a minimal record of your marketing preference or opt-out where necessary to ensure that we respect your request.

Cookies

You can set your browser to refuse all or some browser cookies, or to alert you when websites set or access cookies. If we need to use it for another purpose, we will consider whether that purpose is compatible with the original purpose and whether we have a lawful basis for doing so. Where required by law, we will provide you with information about the new purpose and the relevant lawful basis.

Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

  • Payment providers, accountants, legal advisers, insurers and other professional service providers where their services are required.

Information shared may include names, contact details, delivery addresses, order references and other information necessary to carry out the relevant service.

For example, a payment provider may provide information about a payment or transaction, or a delivery company may provide delivery status information.

We use this information only where necessary for the relevant purpose, such as processing orders and payments, arranging deliveries, providing customer support, maintaining business records, protecting our systems or complying with legal obligations.

The lawful basis will depend on the circumstances and may include performing a contract with you, complying with a legal obligation or pursuing our legitimate interests, provided those interests are not overridden by your rights and freedoms.

Third-party marketing

We do not sell your personal information or permit other companies to use it for their own direct marketing without a valid legal basis. Where we engage a third-party marketing provider, such as an email marketing platform, to send our own communications on our behalf, we will ensure that appropriate contractual and data protection safeguards are in place.

We will obtain consent where required before sharing personal information for third-party marketing purposes.

Third-party providers who process personal information on our behalf may only use it to provide the agreed services, in accordance with our instructions and applicable contractual obligations.

Some providers, such as payment services, professional advisers or delivery companies, may also process information under their own legal responsibilities. Where relevant, their processing will be governed by their own legal obligations and applicable privacy information.

We do not share more personal information than is reasonably necessary for the relevant service.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

Our security measures prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, only employees, agents, contractors and other parties with a business need are given access to your personal data. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Data retention

How long will you use my personal data for?

By law, we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers. This is for tax purposes only.

In some circumstances, you can ask us to delete your data: see Request erasure below for further information.

We will consider requests in accordance with applicable law. We may retain certain information where we have a valid legal obligation or other lawful basis to do so.

Our Lawful Bases for Processing Personal Data

We rely on the following lawful bases, as appropriate to the purpose of processing:

  • Consent: Where you have actively agreed to a specific use of your personal information, such as receiving marketing communications where consent is required.

We process personal data only where we have a lawful basis for doing so under applicable data protection law. The lawful basis will depend on the particular processing activity. Where we rely on legitimate interests, we will consider the interests and rights of the individuals concerned. Depending on the purpose, this may include performing a contract with you, complying with a legal obligation, pursuing our legitimate interests where these are not overridden by your rights and freedoms, or obtaining your consent where required.

Where we rely on consent, you may withdraw it at any time. Withdrawing consent will not affect the lawfulness of processing carried out before withdrawal.

If you are unhappy with how we have handled your personal information, please contact us so that we can try to resolve your concerns.

You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK’s data protection regulator. https://ico.org.uk/make-a-complaint/
